Privacy policy

What we collect, why, and what you can ask us to do with it.

Last updated: October 22, 2026. This policy covers halfdayback.com, the Front Desk Check, our AI starter plans, our contact form, the free AI visibility check and the emails we send. It does not cover the work we do inside a practice for a client, which is governed by a separate written agreement.

The short version

Plain English first.

The details

Who we are

Half Day Back (“we”, “us”) helps dental practices adopt AI safely. You can reach us at hello@halfdayback.com or by mail at Half Day Back, 140 W Franklin St Ste 203, Monterey, CA 93940.

Information you give us

AI visibility check: your first and last name, work email, role, practice name, practice website, city and state, number of locations, and phone number (optional). We use these to look up what AI tools say about your practice and email you the results.

Contact form: your first and last name, work email, phone number (optional), practice or business name, practice size, what you’d like help with, how you heard about us, and your message.

Front Desk Check and AI starter plans: your answers are processed in your browser to build your plan on screen. Nothing is sent to us unless you choose “Email me my plan”. If you do, we receive your name, work email, business name, phone number (optional), how you heard about us, whether you asked for occasional tips, your answers and the plan they produced.

Email and calls: anything you choose to tell us when you write to us or speak with us.

Information collected automatically

Server logs. Like any website, our hosting provider receives technical information when you visit, such as your IP address, browser type, the pages requested and the time of the request. It’s used to deliver the site, keep it secure and fix problems.

Fonts. Our pages load typefaces from Google Fonts, which means your browser connects to Google and shares your IP address with it. Google’s own privacy policy covers that information.

Cookies and analytics. We use Google Analytics, through Google Tag Manager, to understand how visitors use this site. Google Analytics sets cookies and collects usage data such as the pages you visit, your device and browser, and your approximate location. It also records simple actions, such as starting or finishing the Front Desk Check (with its overall score), sending a form or clicking to book a call. We never send your name, email address, individual answers or anything you type into a form to Google Analytics. We don’t use advertising pixels or visitor-identification tools, and we don’t sell your data. To learn more, see How Google uses information from sites or apps that use its services. You can opt out with the Google Analytics opt-out browser add-on.

What we never ask for

Patient information. Please don’t send names, dates of birth, appointment details, insurance numbers, clinical notes or any other patient information through this site or by email. If it reaches us by mistake, we’ll delete it and let you know.

Payment details. We don’t take payments through this site.

How we use your information

  • To reply to you, send the plan you asked for, and arrange and hold calls.
  • If you asked for an AI visibility check, to send your results and to run the same check again about 90 days later and send you what changed. Reply “stop” to any of those emails and we won’t check again.
  • To prepare a proposal if you ask for one.
  • To send occasional tips on using AI at work, only if you ticked the box asking for them.
  • To understand which channels bring enquiries, using the “How did you hear about us?” answer.
  • To keep the site secure, prevent spam and abuse, and meet our legal obligations.

Who we share it with

We share information only with service providers that help us run the business, and only what they need to do their job:

  • our website host;
  • Google, which provides our site analytics (see “Cookies and analytics” above);
  • our form-processing service, which passes form submissions to our inbox;
  • our business email and document provider;
  • professional advisers such as our accountant or lawyer, under a duty of confidentiality.

We may also disclose information if the law requires it, to protect our rights or someone’s safety, or as part of a sale or reorganization of the business, in which case this policy would continue to apply.

We don’t sell your personal information, and we don’t share it with anyone for their own marketing or for targeted advertising.

Emails from us

If you ask us a question or request a plan, we’ll email you about that request. We’ll only add you to our occasional tips if you tick the box asking for them. Every marketing email includes an unsubscribe link and our mailing address, and unsubscribing doesn’t affect replies to your own questions.

How long we keep it

We keep enquiry and plan information for up to 24 months after our last contact with you, unless you become a client, in which case our client agreement sets the retention period. We delete it sooner if you ask. Information we’re required to keep for legal, tax or accounting reasons is kept for as long as the law requires.

Your choices and rights

Whatever state you live in, you can ask us to:

  • tell you what personal information we hold about you and give you a copy;
  • correct anything that’s wrong;
  • delete it;
  • stop sending you marketing email.

Email hello@halfdayback.com with your request. We may need to confirm it’s you before we act, and we’ll respond within 30 days. We won’t treat you differently for making a request. Some state laws give residents additional rights; we’ll honor those where they apply.

How we protect it

We use business accounts with two-step sign-in, limit access to the people who need it, and choose service providers that keep data encrypted in transit. No method of storing or sending information online is completely secure, but we take reasonable steps to protect what you share with us.

Patient data and HIPAA

This website isn’t designed to receive protected health information, and we ask that you don’t send any through it. When we work inside a practice, any access to patient information is governed by a separate written agreement, including a Business Associate Agreement where HIPAA requires one, and never by this website policy.

Children

This site is for businesses. It isn’t directed to children, and we don’t knowingly collect information from anyone under 18. If you think a child has sent us information, contact us and we’ll delete it.

Links to other sites

Our pages may link to other websites, such as government guidance. Their privacy practices are their own, so please read their policies.

Changes to this policy

If we change how we handle personal information, we’ll update this page and the date at the top before the change takes effect. If a change is significant, we’ll also tell people on our email list.
